These Organizer's Terms and Conditions ("Organizer Terms") govern the use of the IndiaRunning.com platform ("Platform"), operated by Saransh Ventures Private Limited ("IndiaRunning," "we," "us," or "our"), by any entity or individual ("Organizer," "Host," "You," or "Your") for the purpose of listing, managing, and promoting a running or sports-related event ("Event") and allows users ("Users" or "Participants") to discover, register for, and participate in Events.
By creating an account and listing an Event on the Platform, you are deemed to have read, understood, and consented to be bound by these Organizer Terms.
Use of Personal Data
The collection and use of personal information in connection with your access to and use of the Platform is described in our Privacy Policy, which is incorporated by reference into these Organizer Terms. You agree that the Platform will process personal data in accordance with applicable data protection laws and the Privacy Policy.
Registration and Onboarding
- a)Eligibility: To be eligible to register and use the Platform as an Organizer, you must be at least 18 (eighteen) years of age and have the legal capacity to enter into a binding contract under applicable law. By creating an account, you represent and warrant that you meet these requirements and any other eligibility criteria as may be stipulated on the Platform from time to time.
- b)Registration Requirement: To register as an Organizer, you shall furnish such information and documents as may be required by the Platform, which may include, without limitation:
- Legal name of the organization or individual.
- Registered or principal business address.
- Valid contact number(s) and official email address.
- Permanent Account Number (PAN).
- Bank account details for settlement of payments.
- Details and proof of identity of authorized signatories or representatives.
- c)The Platform reserves the right to request additional information or documentation at any time for verification, risk assessment, or compliance purposes.
- d)Minor Participants: If an Event permits participation by minors, the Organizer shall be solely responsible for implementing and documenting a process to obtain and verify explicit consent from the parent or legal guardian for each minor Participant. The Platform shall not be liable for any non-compliance by the Organizer in relation to minor participation.
- e)Know You Customer Verification ("KYC"): The Organizer shall undergo mandatory KYC verification in accordance with applicable laws, payment gateway rules, and internal compliance procedures of the Platform, which may be conducted prior to listing an Event or any time thereafter, at periodic intervals.
- f)Representation and Warranties: The Organizer represents and warrants that (i) all information, documents, and declarations furnished to the Platform are true, correct, complete, and current in all respects; (ii) it will immediately notify the Platform in writing of any change, amendment, or modification in the information or documents earlier submitted; and (iii) it complies, and shall at all times comply, with the provisions of the Digital Personal Data Protection Act, 2023, and the applicable rules, including but not limited to lawful collection, processing, storage, disclosure, and retention of personal data of Participants.
- g)Disclaimer of Platform Liability: The Platform will not be responsible for any consequences, losses, or liabilities arising from the Organizer's failure to maintain accurate and updated information. The Organizer warrants that it has the legal authority to conduct the Event and that it will comply with all applicable regulations while ensuring full responsibility for the safety, medical arrangements, and risk management of the Event.
- h)Account Security: The Organizer must provide true, accurate, current and complete information, and keep such information updated. In case of submission of incomplete, falsified, or unverifiable information, it may result in rejection, suspension, or termination of the Organizer's account without prior notice, and withdrawal of all listing of your Events. You are responsible for safeguarding your password and for all activities that occur under your account. You agree to notify us promptly of any unauthorized use of your account or any other breach of security.
Event Listing and Management and Organizer's Responsibilities
- a)Event Disclosure Requirements:
- The Organizer shall, at the time of listing an Event on the Platform, provide complete and accurate details of the Event, including but not limited to:
- Name and title of the Event;
- Venue or location, including city, address, and route details where applicable;
- Date(s) and time(s) of commencement and conclusion of the Event;
- Race categories, distances or competition types offered;
- Registration fees and all applicable taxes, clearly specifying whether the prices are inclusive or exclusive of taxes;
- Any Event‑specific terms and conditions or participation rules;
- Eligibility or age requirements for different Event categories; and
- Cut‑off timings, capacity limits or other restrictions, if any.
- The Organizer shall ensure that all details listed for the Event remain updated and valid until the completion of the Event.
- The Organizer represents and warrants that all content, descriptions, representations, numerical data, and promotional claims published in connection with the Event are true, accurate, and not misleading in any respect.
- Any false, exaggerated, or misleading representation made by the Organizer about the Event, prizes, facilities, or logistics shall constitute a material breach of these Organizer Terms and entitle the Platform to suspend or delist the Event without prior notice.
- b)Participant Data Collection and Legal Compliance:
- The Organizer shall ensure that all Participant data collected through the Platform is strictly limited to information necessary for the organization, conduct, and administration of the Event.
- All such data collection and processing shall comply with the provisions of any applicable data protection laws, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, and the Platform's Privacy Policy.
- The Organizer shall not insert additional data collection fields or request sensitive personal information beyond what is reasonably required for Event execution without obtaining express consent from Participants.
- The Organizer shall ensure the data collected is used, processed, disclosed and retained solely for legitimate purposes related to the Event and strictly in accordance with the consent granted by the data principals to whom such data pertains, and the Organizer shall not sell, transfer, disclose, or otherwise process the same for any unrelated or commercial purpose.
- The Organizer shall be solely responsible for any data breaches, misuse, unauthorized access, or wrongful processing of Participant data.
- c)Communication:
- The Organizer shall be exclusively responsible for timely communication of all Event‑related information, updates, or changes to Participants, including but not limited to:
- Modifications to Event dates, times, or schedules;
- Changes in venue, categories, or logistics;
- Bib‑collection or kit‑distribution details;
- Safety protocols, route adjustments, or weather advisories; and/ or
- Cancellations, postponements, or rescheduling due to emergencies or force‑majeure circumstances.
- The Organizer should issue such updates through appropriate communication channels, including the Platform interface, registered emails, official phone numbers, or other notification mechanisms approved by the Platform.
- The Organizer shall indemnify and hold the Platform harmless against any claims, penalties, or liabilities arising from the Organizer's communications with Participants.
- d)Analytics Dashboard Access:
- The Organizer shall have access to an analytics dashboard on the Platform that provides key insights into their respective Events. The dashboard displays total revenue generated, number of Participant registrations, and a category-wise breakdown of Event data.
- The Organizer may also view detailed Participant information, including registration number, ID proof, gender, contact number, medical and emergency details, and any other relevant fields collected during registration.
- The dashboard will also display comprehensive race results and timing details captured during the Event.
- The dashboard further provides access to certain leads, which include the details of individuals browsing or showing interest in specific races, enabling the Organizer to engage with potential Participants.
- e)Right of Review and Removal: The Platform reserves the right, at its sole discretion, to review, modify, or remove any Event listing that appears incomplete, misleading, unlawful, or non‑compliant with these Terms or applicable laws. Such action may be taken without prior notice to ensure the integrity of the Platform and the safety of Participants.
Organizer Conduct and Content Restrictions
The Organizer are responsible for all content, information, data, messages, or materials that you submit, upload, post, transmit, or otherwise make available on or through the Platform. The Organizer agree not to upload, share, or transmit any Content that:
- a)is unlawful, harmful, threatening, abusive, harassing, defamatory, obscene, vulgar, hateful, pornographic, racially or ethnically offensive, or otherwise objectionable;
- b)promotes or facilitates gambling, gaming, lotteries, raffles, contests, sweepstakes, or any activity involving prizes not expressly permitted on the Platform;
- c)impersonates any person or entity, including an IndiaRunning.com representative, or misrepresents your affiliation with any person or organization;
- d)contains false, misleading, or unauthorized information, or infringes any patent, trademark, copyright, trade secret, or other proprietary or privacy rights of any third party;
- e)you do not have the right to disclose under applicable law or contractual obligations (including confidential or privileged information);
- f)contains viruses, malware, harmful code, or any files or programs designed to interrupt, damage, or limit the functionality of the Platform or any connected systems;
- g)use the Platform for selling or promoting goods or services except those expressly permitted (such as Event tickets, registrations, and related merchandise through authorized Platform channels);
- h)interfere with, disrupt, or attempt to gain unauthorized access to the Platform, its servers, networks, user accounts, or security features;
- i)stalk, harass, threaten, or harm other users;
- j)forge headers, manipulate identifiers, or otherwise disguise the origin of any communication transmitted through the Platform; and
- k)engage in any activity that violates applicable laws, regulations, third-party rights, or this Privacy Policy.
Payments, Cancellations and Refunds
- a)Payment Terms:
- The Platform enables Organizers to collect registration fees, donations and other Event‑related payments through third‑party payment service providers or payment gateways ("Facilitated Payment Modes" or "FPMs") and/or through IndiaRunning's own payment processing arrangements, as applicable. The Platform has no control over third-party FPMs or over payment gateway providers and shall not be liable for errors, delays, security issues, or downtime on payment processors.
- Organizers' must complete mandatory KYC verification before requesting any payment settlement or clearance. The Platform shall not process settlements until KYC documentation is submitted and verified and shall not be held liable for any delay in payment or settlement arising from incomplete or pending KYC processes or regulatory verification delays.
- The Platform's revenue model includes:
- retention of approximately 30%-50% (thirty percent to fifty percent), at the sole discretion of Platform, of total Event revenue as Platform/service fees (variable based on commercial understanding);
- pre-Event partial settlements to Organizers; and
- post-Event final settlement after deductions of agreed fees and any applicable charges.
- The Organizer is solely responsible for calculation and deposit of applicable taxes in relation to all payments unless the Platform has expressly collected and deposited such taxes on the Organizer's behalf. All pricing details (inclusive or exclusive of taxes) must be clearly specified by the organizer in the Event listing.
- b)Refund Terms:
- The Organizer must publish a clear refund and cancellation policy for Participants in the Event listing.
- Organizers are solely responsible for determining refund eligibility, issuing refunds directly to Participants, handling all refund-related communications, disputes, and chargebacks.
- The Platform shall not be responsible or liable for refund issuance, refund amounts, or Organizer delay/failure in issuing refunds.
- If the Platform processes payments on behalf of the Organizer and a chargeback, dispute, or claim is made against the Platform, the Organizer shall immediately indemnify and reimburse the Platform for all associated losses, fees, and costs.
- The Platform will not refund its Platform/service fee for any reason, including Event cancellation (whether due to force majeure or otherwise), unless mutually agreed in writing.
- c)Cancellation and Event Change Terms:
- Organizers are solely responsible for communicating any Event cancellation, postponement, modification, or material changes to all registered Participants promptly, using the contact information collected. Platform shall not refund its Platform fee in case the Event is cancelled, whether due to an Act of God or otherwise, unless otherwise mutually agreed in writing.
- In the event of cancellation, postponement, force majeure, weather disruptions, or authority-mandated restrictions Organizers must manage all Participant claims, refunds, credits, or deferrals in accordance with their stated policy, the Platform shall not be liable for Participant or Organizer losses.
- Organizers may enable/disable Participant transfer and deferral options; if enabled, refunds must only be initiated after a completed transfer and requisite payment.
- Organizers must ensure accurate Event information, lawful conduct of Events, all required permissions, safety arrangements, medical support, first-aid availability, and risk mitigation.
- The Platform may cancel tickets purchased beyond stated quantity limits per person/card/household without notice.
- The Organizer agrees to indemnify, defend, and hold harmless the Platform and its affiliates, directors, shareholders, officers, employees, vendors, and service providers from any and all liabilities, claims, damages, and costs (including legal fees) arising out of or in connection with the organization, promotion, execution, or cancellation of the Event, any breach of these terms by the Organizer, or any act or omission of the Organizer or its staff, volunteers, or agents.
- d)Event Execution Responsibilities:
- The Organizer is solely responsible for safety, conduct, management and delivery of the Event including:
- obtaining all required permits;
- ensuring route and venue safety;
- crowd management;
- first-aid and medical support;
- emergency response measures; and
- compliance with traffic, sports, health and municipal regulations.
- The Platform is only a listing and registration Platform and does not verify Event safety, quality or regulatory compliance.
- The Organizer acknowledges that Participants are required to be medically fit to Participate at their own risk.
Platform Fee and Additional Services
The Platform may offer additional paid promotional services such as Event banners, WhatsApp campaigns, email marketing, website promotion etc. The Organizer may opt-in for such services at its discretion; fees vary per service. Platform service fees are non-refundable unless expressly agreed otherwise.
Platform Use, Content and Intellectual Property
The Organizer may upload logos, banners, descriptions and media for the purpose of promoting the Event. The Organizer shall ensure that all uploaded media is original or properly licensed and does not infringe third-party intellectual property rights. The Organizer must indemnify the Platform against claims arising from misuse of media, trademarks or copyrighted materials. The Platform may use the Organizer's name, logo and Event details for promotional purposes, unless expressly withdrawn in writing.
Disclaimers
- a)The Platform and related services are provided on an "as is" and "as available" basis, without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, title or non‑infringement, to the extent permitted by applicable law.
- b)The Platform does not verify the authenticity, safety, legality, quality or adequacy of any Event, Organizer, venue or arrangements (including medical support), and does not guarantee that listings are genuine or that Events will be organized in accordance with specific health or safety protocols. Participants attend Events at their own risk.
- c)The Platform may integrate with or link to third‑party services, including payment gateways and external websites. The Platform does not control and is not responsible for such third‑party services, content or actions, and shall have no liability arising from their use.
Liability and Indemnification
- a)Limitation of Liability: To the maximum extent permitted by law, the Platform shall not be liable, whether in contract, tort or otherwise, for:
- i. any indirect, incidental, special, consequential or punitive damages, including loss of profits, goodwill, or data;
- ii. any loss or injury arising out of or in connection with an Event, including personal injury, illness, death, property damage or delays; or
- iii. any acts or omissions of Organizers, Participants or third parties.
- b)Release: By continuing further on this Platform and opting to organize any Event, you hereby release forever, IndiaRunning, and its respective directors, shareholders, officers, employees, vendors and service providers from any and all liabilities and claims arising from organizing any Event listed on IndiaRunning.com.
- c)Aggregate Liability: Any aggregate monetary liability of the Platform, if established, shall be limited to the lower of (a) the amount actually received by the Platform from the Organizer or Participant in respect of the specific transaction giving rise to the claim, or (b) in no event will the Platform be liable for any indirect, consequential, punitive, or special damages, including loss of profit, goodwill, or business reputation exceeding Rs. 10,000/- (Rupees Ten Thousand Only) in the aggregate.
- d)Indemnity by Organizers: Organizers agree to indemnify, defend and hold harmless the Platform and its affiliates, directors, officers, employees, service providers and agents from any claims, damages, liabilities, costs and expenses arising out of or in connection with the organization, promotion, execution or cancellation of any Event; any breach of these Organizer Terms or applicable law by the Organizer; or any act or omission of the Organizer, its staff, volunteers or agents.
Data Protection and Confidentiality
- a)The Participants are expected to maintain confidentiality and respect the privacy of Organizers' information shared with you. You may access limited personal information of Organizer solely for availing the Event services and agree to handle such data in compliance with applicable data protection laws and the Platform's Privacy Policy, without retaining, misusing, disclosing, or sharing it for any other purpose other than as expressly stated herein. You are not permitted to, and should not, utilize Organizer's personal information for any other reason other than to avail the Event services, and shall not utilize such information after the conclusion of the Event, unless you have explicitly obtained the Organizer's consent to do so.
- b)In addition to your obligation to protect personal data shared with you, you agree to maintain strict confidentiality of any proprietary, business, or technical information received from the Platform and not disclose or misuse such information for any purpose other than performing your obligations under these Terms.
Termination, Suspension and Service Modifications
- a)The Platform may, at its sole discretion, suspend or terminate any account or access to the Platform with or without notice, including in the event of breach of these Organizer Terms and other Platform policies, misuse of data, safety concerns, regulatory orders, or suspected fraud etc.
- b)Effect of Termination: Upon termination, your right to use the Platform will cease, and the Platform may deactivate or delete your account and associated content, subject to retention obligations under law. Provisions that by their nature should survive termination (including limitations of liability, indemnities and data protection clauses) will continue to apply.
- c)Service Modifications: The Platform reserves the right, at any time and from time to time, to modify, suspend or discontinue any part of the Platform or services (including features or functionalities), with or without notice, and shall not be liable for any such modification, suspension or discontinuance.
Modifications
The Platform may update or modify these Organizer Terms from time to time. Updated Organizer Terms will be posted on the Platform and will become effective upon posting or as otherwise specified. Continued use of the Platform or participation in any Event after such changes shall constitute acceptance of the updated Organizer Terms.
Entire Agreement
This Organizer Terms, along with the Event specific terms that (as applicable), constitutes the entire agreement between you and IndiaRunning.com and governs your use of the Services, superseding any prior or contemporaneous agreements, proposals, discussions or communications between you and IndiaRunning.com on the subject matter hereof. You also may be subject to additional terms and conditions that may apply when you use affiliate services, third party content, software or the Services in a manner other than as governed by this Organizer Terms. The Organizer may be subject to additional terms and conditions that may apply to your use of the Services.
Governing Law and Dispute Resolution
These Organizer Terms shall be governed by and construed in accordance with the laws of India. Subject to any arbitration or dispute‑resolution provisions that may be specified in the Platform's Terms, courts having jurisdiction in Mumbai, India shall have exclusive jurisdiction over disputes arising out of or in connection with these Organizer Terms.
Notices and Grievances
Notices to you may be made via either email or speed post to the address in IndiaRunning.com's records. The services may also provide notices of changes to this Organizer Terms or other matters by displaying notices or links to notices to you on the services. Any notice from you to us shall be sent in writing to our mailing address at:

Waiver; Invalid Provisions
The failure or delay of the Platform to exercise or enforce any right or provision shall not constitute a waiver of such right or provision. No oral waiver, amendment or modification shall be effective under any circumstance whatsoever. If any provision of this Organizer Terms is found by an arbitrator or court of competent jurisdiction to be invalid, the parties nevertheless agree that the arbitrator or court should endeavor to give effect to the parties' intentions as reflected in the provision, and the other provisions of this Organizer Terms shall remain in full force and effect.
